Buying guideHow to choose an office copier
Exact International · Published 3 October 2026
Match the machine to your daily work before comparing the purchase price.
Start with your workload
Record your typical monthly page count and peak periods. Include copying, printing and scanning, then discuss these figures with your supplier so the proposed machine has room for busy days.
Decide what your team needs
List whether you need A3 paper, colour output, automatic duplex printing, double-sided scanning or additional paper trays. Check network compatibility and available drivers for the computers your team uses.
Compare the full cost
Ask for a written quotation covering installation, consumables, service coverage and any rental or AMC terms. Compare the expected running cost as well as the initial machine price.

A consistent scanning routine helps your team find documents quickly.
Prepare the originals
Remove staples and clips, separate damaged sheets and check the scanner manual for supported paper sizes and weights. Use the flatbed for originals that are unsuitable for the document feeder, if your machine has one.
Choose useful settings
For everyday text documents, start with a modest resolution and check that the result is legible. Use colour when it carries information, and enable searchable PDF only when the machine or software supports OCR.
Organise and protect files
Use a consistent naming pattern, such as date, customer and document type. Check the destination before sending a scan, restrict access to confidential folders and confirm the file is complete before disposing of any original.

Simple checks can reduce avoidable interruptions to office printing.
Look after your paper
Store paper flat in a dry place and load it within the tray’s marked limit. Set the correct paper size and type, and avoid mixing damaged sheets into a fresh stack.
Follow the machine’s instructions
Use consumables approved for your model and follow the manufacturer’s cleaning procedure. When a paper jam occurs, follow the displayed instructions and avoid forcing covers or pulling inaccessible parts.
Know when to request service
Record the model, error code and symptoms before contacting support. Repeated jams, unusual noises or persistent print defects need diagnosis. Ask your service team about preventive maintenance suited to your workload.
